RegularThe Operations Coordinator is responsible for a variety of maintenance related tasks that ensure the efficient daily operations of a business. Duties typically include performing administrative duties, assisting with project management, and ensuring compliance. Under general supervision of the General Community Manager, the Operations Coordinator will perform the following duties in support of the Maintenance department in accordance with Essex Property Trust policies, procedures, and programs.
Key responsibilities of this position include, but are not limited to the following:
- Prioritize, assign, and monitor service requests via Sightplan.
- In coordination with the Maintenance Supervisor establish daily work schedules of maintenance personnel.
- Schedule pre-move out inspections and final move out inspections with resident for Maintenance Supervisor.
- Create purchase orders for vendor related services.
- Schedule vendors for unit turns based on pre-move out inspection and final move out inspection information provided by Maintenance Supervisor.
- Input unit turnover vendor and maintenance workorders into Sightplan and monitor accordingly.
- Follow up on CMS projects with property and CMS Manager including Preventative Maintenance needs with Resource Management to ensure efficient and thorough completion.
- Contact residents verbally or electronically ensuring the work was completed professionally, thoroughly, and requesting completion of survey upon receipt. Recommend and implement improvements where appropriate based on feedback received.
- In partnership with the Maintenance Supervisor, purchase supplies, equipment, and services as necessary with orders provided via Maintenance Supervisor. Monitor and escalate as needed budgeted variances to General Community Manager.
- Consult with property staff on any regular or unusual repairs requiring special attention; prepare written plan of action and or recommendations for resolution. Assist in the preparation of all maintenance related records required by the company.
- Scheduled occupied annual unit by unit inspections in Sightplan.
- Keep computer spreadsheets regarding fire doors, ext. smoke alarms, and all unusual items each individual property requires.
- Monitor all filing and paperwork aspects of Facilities Department, including but not limited to SDS records, manuals, forms, annual inventories, equipment, maintenance, safety and postings and OSHA requirements.
- Make recommendations for contract services and scheduled according to certification requirements.
- Follow all company procedures and present a professional attitude, appearance, and image.
- Report all violations of Essex rules and regulations or any laws to the General Community Manager within 24 hours of incident. Provide feedback to General Community Manager on performance of maintenance and janitorial staff at each site, as applicable.
- Maintain the highest level of customer service for prospects, residents, vendors, and corporate departments.
- Compliance with company standards as defined in the Human Resources Policy Manual, Operations Playbook, and applicable laws, e.g., Fair Housing, Landlord Tenant, Local Building Codes, OSHA, and EEOC.
- Other duties as assigned.
Qualifications:
- High school diploma or equivalent preferred, some college preferred.
- Customer service experience preferred.
- Proven organizational and time management skills.
- Valid driver license and automobile insurance.
- Ability to read and write English; speak English and understand spoken English.
- Ability to utilize a personal smart device for apps related to property operations and communication
- Proficient understanding of the Microsoft suite, property management software preferred.

The salary range for this position is $22.60 - $31.73 per hour. New hires generally start between $22.60 - $27.40 per hour. The final salary offer will be determined after reviewing relevant factors, including but not limited to skill sets; relevant experience; internal equity; and other business and organizational needs.This role is also eligible to participate in Essex’s discretionary Annual Bonus program that is commensurate with the level of the position.
