REAL ESTATE ADMINISTRATIVE ASSISTANT

Title: Real Estate Administrator

Purpose:

Execution of all office operations, processes and procedures relating to residential property management.

Reports to:

Property Manager(s)

Required Duties:

  • Administer and maintain property management software by updating records in a timely and accurate manner
  • Maintain all resident and building files including the processing and filing of correspondence on a timely and accurate basis
  • Prepare resident correspondence as directed by Property Manager
  • Assist with telephone inquiries from residents and contractors
  • Communicate clearly and effectively with internal team and residents
  • Provide excellent customer service to team members and residents
  • Assist with rent collections, renewals, work order follow up, turnover, insurance and invoice processing
  • Process garage leases and controls where applicable
  • Maintain up to date electric charge file where applicable
  • Document all credit card payments received where applicable
  • Process bad debit collections on resident accounts
  • Open/distribute mail on a daily basis
  • Preparation of rental verifications
  • Prepare sub-lease documents for delivery to tenants
  • Assist with planning resident retention events
  • Provide effective assistance with all other matters as directed by Management

Must Possess:

  • Strong interpersonal and communication skills: verbal, listening and written
  • Strong organizational skills, both electronically and paper

  • Strong multi-tasking capabilities, flexibility, and adaptability
  • Ability to work in a fast paced, ever-changing environment

Required Skills:

  • Bachelor’s business degree preferred or related business experience
  • A minimum two years’ experience in real estate administration/management
  • Must possess Illinois Real Estate Leasing Agent license or be willing to acquire within first 90 days of employment
  • Proficient MS Office skills and computer skills focus on Excel spreadsheets

Physical Demands of Job:

  • Frequent hand motion with answering and dialing phones, computer, and 10-key work
  • Occasional carrying and lifting of 15 pounds to perform various office duties as assigned
  • Occasional immediate reaching to perform various office duties as assigned
  • Minimal overhead reaching to perform various office duties as assigned
  • Occasional standing for short amounts of time to perform various office duties
  • Occasional walking for short amounts of time to perform various office duties
  • Extended sitting for long periods of time at desk or workstation
  • Use of other small office machines to perform various office duties as assigned
  • Minimal squatting or bending to perform various office duties as assigned
