Title: Real Estate Administrator
Purpose:
Execution of all office operations, processes and procedures relating to residential property management.
Reports to:
Property Manager(s)
Required Duties:
- Administer and maintain property management software by updating records in a timely and accurate manner
- Maintain all resident and building files including the processing and filing of correspondence on a timely and accurate basis
- Prepare resident correspondence as directed by Property Manager
- Assist with telephone inquiries from residents and contractors
- Communicate clearly and effectively with internal team and residents
- Provide excellent customer service to team members and residents
- Assist with rent collections, renewals, work order follow up, turnover, insurance and invoice processing
- Process garage leases and controls where applicable
- Maintain up to date electric charge file where applicable
- Document all credit card payments received where applicable
- Process bad debit collections on resident accounts
- Open/distribute mail on a daily basis
- Preparation of rental verifications
- Prepare sub-lease documents for delivery to tenants
- Assist with planning resident retention events
- Provide effective assistance with all other matters as directed by Management
Must Possess:

- Strong organizational skills, both electronically and paper

- Ability to work in a fast paced, ever-changing environment
Required Skills:
- Bachelor’s business degree preferred or related business experience
- A minimum two years’ experience in real estate administration/management
- Must possess Illinois Real Estate Leasing Agent license or be willing to acquire within first 90 days of employment
- Proficient MS Office skills and computer skills focus on Excel spreadsheets
Physical Demands of Job:
- Frequent hand motion with answering and dialing phones, computer, and 10-key work
- Occasional carrying and lifting of 15 pounds to perform various office duties as assigned
- Occasional immediate reaching to perform various office duties as assigned
- Minimal overhead reaching to perform various office duties as assigned
- Occasional standing for short amounts of time to perform various office duties
- Occasional walking for short amounts of time to perform various office duties
- Extended sitting for long periods of time at desk or workstation
- Use of other small office machines to perform various office duties as assigned
- Minimal squatting or bending to perform various office duties as assigned
