Responsibilities

Essex currently maintains approximately 40+ commercial property or about 1 million square feet of commercial space. It is comprised primarily of ground floor, mixed-use retail and a multi-tenant office building. The Commercial Department manages and evaluates this portfolio in the context of the related residential use to determine how it can optimize the value of the asset overall.

The Commercial Analyst (Commercial, Assistant Property Manager) will assist in all day to day operations of the Commercial Portfolio and report directly to the Commercial Portfolio Property Manager and will be based in the San Mateo office.

Responsibilities include:

  • Assist in  all day to  day operations of Commercial  Portfolio
  • Collects specified rents and recommends necessary actions. Work with legal counsel to collect or evict  as necessary, in  compliance with court order and directions from lawyer and management.
  • Communicates and understands the terms of the lease through the accurate filings of lease abstracts
  • Administers-leases and enters data within° Essex commercial database software (Yardi)
  • Assists with the team's accounting functions, preparation of annual budgets, and reconciles variances and reviews monthly financial reports for accuracy.
  • Assists with Common Area Maintenance / CAM calculations and reconciliations
  • Assists with Monthly Tenant Billings, Receipts and related Lenanl inquiries
  • Works with construction team, contractors and subcontractors to coordinate tenant improvements, maintenance issues, upkeep, or reconditioning of property.
  • Develops and  maintains excellent tenant/landlord relationshi ps.
  • Maintains tenant request/complaint log and ensures that responses to requests are performed in a timely fashion.
  • Ensures compliance with insurance policies and procedures, including procedures for filing claims and loss prevention reports.
  • Assist with tenant move outs and related procedures.
  • Coordinate with 3rd party vendors to ensure utility and service billings are in place.

Qualifications

  • Commercial property management experience not required.  We will train. 
  • Bachelor's degree in Real Estate, Business, Finance, Accounting, or similar field  required.  Please include GPA in your resume.
  • Ability to travel to assigned properties (Commercial Portfolio is West Coast only with concentrations in Seattle, Northern California Bay Area, and Los Angeles).  Overnight travel estimated to be once per month.
  • Experience with MS Excel and Outlook
  • Strong initiative and ability to manage multiple projects as well as strong follow through skills
  • Excellent communication (written and verbal) and interpersonal skills required.
