ASSISTANT DIRECTOR OF PROPERTY MGMT

NMS Residential, LLC is looking for a dynamic leader who will optimize our staff and resources to lead our organization to new heights of success. This position requires strong leadership skills, effective industry-standard business practices, and a deep knowledge of property management.

ESSENTIAL FUNCTIONS:

  • Oversee the management operations a portfolio of 10 or more communities by providing leadership and motivation to site personnel
  • Act as a brand ambassador of values that are steeped in service and promote a customer centric experience; champion a professional atmosphere of mutual respect, collective success, and sensible decision making
  • Select, train, supervise, and motivate property staff to ensure compliance with NMS Residential's standards and promote a supportive work environment that fosters collaboration, ethical decision-making, and a drive for collective success.
  • Define all community objectives to optimize asset efficiency and achieve performance goals set in accordance with owners' expectations. Effectively communicate community objectives to staff through training and delegation; follow up with property staff to ensure objectives are met.
  • Achieve financial objectives with strategic short and long term planning by proposing competitive rents relative to the submarket; meeting leasing/absorption goals; effectively qualifying prospective residents; managing delinquency; documenting vendor and asset information; maintaining accurate transactional and communication records; effectuating timely payment of bills; analyzing variances and expenses to identify cost-savings opportunities; forecasting expenditures, renovations, Capital improvements; preparing an annual budget.
  • Perform compliance audits to ensure fulfillment of operational and financial goals, including but not limited to general adherence to NMS Residential policies & procedures; legislative compliance; property inspections; lease file audits; marketing positioning; Capital improvements; safety audits; and financial reviews.
  • Enforce compliance with standard operating procedures based on product type (conventional, furnished, co-living, etc.), ensuring attention to detail and due diligence in leasing transactions, verifications, and communication are consistent with standards.
  • Communicate with Director of Property Management on a recurring basis regarding property performance with respect to leasing, rent collections, expense controls, capital improvements, staffing and general operational matters. Compile reports as needed. Develop a detailed leasing and marketing plan for the Director of Property Management and/or ownership approval and oversee implementation to meet all goals; monitor and adjust with the Director of Property Management and/or ownership on a regular basis.
  • Sustain high occupancy levels through effective motivation of property staff, keeping informed of market conditions, understanding competitive pricing, and utilizing appropriate marketing resources
  • When required, provide disposition and pre-acquisition input and assistance in the due diligence process, including review of financial and operational assumptions
  • Assess community and safety conditions on a periodic basis, including unit interiors, common areas, leasing office, grounds, and life safety devices, and ensure adhesion to OSHA regulations
  • Promote safety and injury prevention principles and practices; stay informed of general environmental conditions to provide input and propose solutions
  • Assist with the coordination of construction and refurbishment projects and manage tenant negotiations to optimize the development process and support the company's absorption goals
  • Promote positive, proactive resident relations by demonstrating a firm, fair and consistent manner in all resident interaction and effectuating timely resolution of resident concerns and grievances; instill the principle of first contact resolution within the staff while keeping in mind the regulatory, political and social impact of decisions
  • Update job knowledge by participating in educational opportunities, researching industry trends, submarket developments, demographic shifts, and new legislation to analyze their overall impact on the market; participate in industry-relevant professional organizations.
  • Assist the Director of Property Management, as needed, in long-range planning, communications and other tasks
  • Assist with the coordination of construction and refurbishment projects and manage tenant negotiations to optimize the development process and support the company's absorption goals
  • Open new communities and complete lease up of buildings
  • Shop and be familiar with comps in sub-market. Review and verify monthly market summary
  • Participate in company-provided training such as Fair Housing, safety, discrimination and harassment prevention.
  • Accomplish the organization's goals by conforming to changes in scope, duties and responsibilities which are subject to modification at any time based on the company's needs and at the sole discretion of NMS Residential. 
  • In collaboration with the Director of Property Management: a)  Guide career development of leasing staff; cultivate a supportive work environment that fosters collaboration, growth, sensible decision-making, and a drive for collective success; b)  Achieve financial objectives by sustaining a balance between high occupancy and aggressive rental incomes relative to specific sub and adjacent markets;  as needed, review market rent projections on annual financial statements and provide input; c)  Evaluate associate performance to ensure compliance with NMS Residential standards and discuss with associates as appropriate; execute performance management plans to support alignment with standards, expectations, and goals; provide interval performance updates to Director of PM to measure progress and evaluate effectiveness of training. 

   Perform additional duties as assigned

  QUALIFICATIONS & SKILLS (Technical and Non-technical): 

  • Bachelor's Degree in business or related field preferred
  • High school diploma required
  • Property Management Certification is a plus
  • Previous experience must include management of multi-site portfolio
  • At least 7+ years' previous property/community management experience at the Regional or General Manager level with oversight of a minimum of 800 units for at least 5 years
  • Previous experience must include responsibilities for property operating budgets, financial planning, analysis and tracking and solid financial results
  • Previous experience with Yardi, Check Scan & On-Site a plus Excellent writing and speaking skills
  • Ability to perform mathematical functions to achieve financial planning, asset performance analysis and annual budgeting
  • Detail oriented, analytical thinker with the ability to prioritize tasks, apply effective solutions quickly, and solve problems creatively 
  • Knowledge of eviction proceedings, Fair Housing guidelines, City/State/Federal regulations impacting the multi-family industry, Landlord/Tenant principles, and new legislation gaining momentum
