Administrative Construction Assistant

Reports to: Director of Construction.

Supervises: None.

The Administrative Construction Assistant will be assigned to a project team or group for clerical support and will report to the team leader. The Administrative Construction Assistant will assume a wide variety of administrative and functional support of day to day project activities. Experience in engineering/construction business is a big plus. The candidate must be able to see tasks through completion. Having a great attitude and ability to work as a team is essential.

Key Areas of Responsibilities:

  • Provide administrative support to the project team leader at project level or other staff at project management level
  • Maintains project team or management group calendar
  • Prepares meeting packages in advance of meetings
  • Collects and assembles Weekly and Monthly Progress Reports
  • Attends project meetings, takes meeting minutes and distributes as required
  • Coordinates tasks and efforts directed by an immediate supervisor
  • Types and distributes documents as directed by an immediate supervisor
  • Provides typing services to project team or management group
  • Maintains project files and documentation, both hard and electronic copies
  • Scans and uploads project documents
  • Monitors insurance, Requests for Subcontractor Approvals, certified payroll
  • Receives and distributes incoming and outgoing correspondence
  • Other duties assigned by an immediate supervisor
  • Assists the Office Engineer with various tasks needed Position Requirements:

Knowledge, Skills & Abilities

  • Proficient with Microsoft Word and Excel
  • Strong word processing skills
  • Database experience preferred
  • Detail oriented
  • Ability to take initiative and to receive direction
  • Excellent organizational, interpersonal and communication skills
  • Editing skills helpful: proofreading for grammar, spelling, punctuation, and format

Education and Work Experience Requirements:

  • A high school diploma is required
