COMMERCIAL PROPERTY MANAGER
Olen is seeking a motivated and experienced individual to join our Commercial Property Management team as a Property Manager, overseeing a portfolio of buildings in the Brea area as directed by the Vice President and Director of Property Management. Property Managers are responsible for the physical management of their assigned portfolio of properties, interior and exterior in accordance with company standards and procedures, as well as local and State laws; and they interface daily with their tenants and vendors, resolve issues, coordinate move-in and move-outs, schedule and oversee refurbishments and minor tenant improvements.
Main Job Tasks and Responsibilities:
Responsible for the day-to-day operation and maintenance of the property.
Takes incoming call from tenants and contracted service providers. Determines solutions for tenant and building maintenance related issues.
Responds to and coordinates completion of maintenance requests made via the work order system.
Visit all properties and vacant suites no less than one time per week.
Maintain a high-quality property appearance by daily property walks of all common areas. Record deficiencies and take necessary action for improvement.
Coordinate tenant move-in with the Marketing Department.
Complete suite floor plan verification for Marketing Department monthly.
Coordinate tenant move-out. Prepares punch list. Coordinates refurbishment of suites timely (two weeks turn around). Reports conditions to Vice President or Director of Property Management as applicable. Cost punch list for processing of security deposit refund.
Coordinate daily work schedules for maintenance staff.
Coordinate and schedule refurbishments and tenant improvements.
Prepares requisitions for purchase orders for review and approval by Vice President or Director of Property Management.
Reviews and approves invoices for final review by Vice President or Director of Property Management.
Oversight of contractor/vendor work performed as instructed and follows up on ongoing services or until completion, such as security services, elevator maintenance, janitorial, landscape, sweeping, HVAC maintenance, and other contracted property services.
Audits, purchase orders, contracts and scope of work periodically. Makes recommendations with regard to continuing or canceling contracted services when necessary.
Responds to correspondence from tenants, vendors, etc. via email or in letter form as required.
Completes written quarterly property inspection reports when required.
Updates refurbishment reports as changes in information occur.
Prepares monthly tenant billing reports.
Updates property emergency contact information.
Updates and manages responsibility and progress reports as changes, additions and completion of work occur.
Interacts with Vice President and Director of Property Management as needed on suite refurbishments, repairs, landscape, major repairs, etc.
Responds to all emergencies as quickly as practical during business and after business hours.
Installs “Available” signs for all vacant units.
Other duties as assigned

EDUCATION/EXPERIENCE:
2 years experience in Commercial Property Management.
High School Diploma or GED
TECHNICAL PREREQUISITES:
Computer skills including MS Office Suite (Word, Excel, and SharePoint)
CERTIFICATES, LICENSES, REGISTRATIONS:
As this position does involve driving to different properties, a valid driver’s license and current auto liability insurance are required.
LANGUAGE SKILLS:
Ability to speak, read, write and understand the English language to provide excellent customer service, solve problems and communicate with customers, vendors and other team members.
MATHEMATICAL ABILITY:
Basic math skills required.
REASONING ABILITY:
Ability to solve practical problems. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to frequently walk, climb stairs, and drive to various properties. The employee is occasionally required to reach with hands and arms and climb or balance.
The employee must frequently lift and/or move up to 10 pounds. Vision abilities required by this job include close and distance vision, and the ability to adjust focus.
WORK ENVIRONMENT:
While performing the duties of this job, the employee works primarily onsite at various properties. Will get in and out of an automobile. Will frequently drive to designated properties.
