At Leumas, the Property Management Coordinator provides all necessary leadership, management, and strategic vision required to ensure that all team members affiliated with the Property Management Division have clear and measurable goals, consistent guidance and oversight, operational controls, and effective administrative and reporting procedures. In this role, you will enhance operational efficiency, implement growth-oriented plans, and ensure exceptional customer service and employee performance. Your responsibilities extend to portfolio oversight, process improvement, and positioning the division for asset acquisitions and management excellence. Key responsibilities will include but not be limited to:
General Divisional Oversight: Ensure That All Properties Within Our Portfolio Adhere to All Applicable Leumas and Client Policies, Procedures, And Programs.
Drive adherence to operational standards, creating a foundation for streamlined and effective property management practices. Ensure the ongoing success of property management operations by addressing issues proactively and conducting regular on-site inspections.
Process Enhancement and Development: Draft Operational Process Outlines and Procedures.
Document and improve operational processes, contributing to the overall efficiency and effectiveness of property management procedures. Establish and maintain high standards for documentation, policies, and procedures, ensuring accuracy and efficiency across all property management activities.
Asset-Level Financial Oversight: Asset-Level Budget Development and Financial Monitoring.
Implement stringent financial oversight for all assets within our portfolio, ensuring sound budget management and the timely approval of all financial transactions, including HUD Invoice Transmittals.
Representation and Collaboration: Serves as The Firm's Primary Property Management POC With Clients, Investors, And Business Partners; Ensuring That You and Your Team Members Promptly Respond to All Client Emails, Requests, And Written Inquiries.
Enhance the firm's reputation and relationships, positioning us as a trusted partner in the affordable housing industry. Foster positive client relationships and maintain effective communication channels, ensuring client satisfaction and loyalty.
Daily Direction to Corporate PM Staff: Conduct Daily 1:1 Priority Calibration Meetings with Your Corporate PM Specialists and Assistants.
Foster a collaborative environment, ensuring regular communication for effective problem-solving, prioritization, and continuous improvement.
Communications and Reporting: Draft Various Memos and Ensure That All Monthly Reports Are Presented Timely and Accurately.
Promote accountability and transparency through the regular review and analysis of weekly reports, ensuring compliance and efficiency to provide stakeholders with clear and concise updates on our property management activities.
Asset Transition Management: Manage The Transition Process for All Newly Acquired and Client-Assigned Assets.
Facilitate seamless asset takeover transitions, optimizing efficiency, and minimizing disruptions for both our newly assembled teams and the communities we serve.
Escalated Concerns: Resolve Escalated Resident and Client Concerns That Can't Be Resolved by Your Corporate Specialists.
Address resident and client concerns promptly and effectively, enhancing their satisfaction and the company's reputation.
Site Visits and Supervision: Conduct Quarterly Quality Control Site Visits to Ensure That All Established Processes and Procedures Are Being Followed by Our Corporate Specialists and On-Site Staff.
Ensure hands-on quality control, supervision, and strategic guidance to foster continuous improvement and growth within the Property Management Division.
Maintenance Oversight: Determine Property Maintenance Requirements, Review Contractor Bids, And Negotiate Maintenance Contracts.
Provide reliable guidance to your Regional Maintenance Supervisor to optimize property maintenance processes, ensuring cost-effectiveness and maintaining high standards of property upkeep.
Staff Management and Development: Approve All On-Site Personnel Hires, Status Changes, And Terminations. Conduct Meetings, Develop and Execute Property Management Departmental Training Programs.
Promote continuous staff improvement and a positive and productive team environment through regular employee evaluations, ensuring staff development, engagement, and continuous improvement to ensure proficiency in operations and property management software utilization.
Marketing and Leasing Oversight: Monitor, Support, And Suggest Marketing/Leasing Program Improvements. Review And Suggest Rent Schedules for All Assets.
Streamline leasing processes, enhance marketing strategies, and optimize financial performance through regular review and analysis of property and market trends.
