Description
The Leasing Office Clerk is responsible for the leasing process from introduction to actual occupancy, including conveying the benefits of the apartment community as a representative of the Company, for potential residents with the goal of maximizing occupancy and overall profitability. This position’s responsibilities will consist mostly of coordinating office activities and operations while providing clerical and administrative support to management.

Essential Functions:
Lease apartments and aggressively sell products/services of the property. Develop, refine and effectively implement excellent telephone personal sales skills. Specifically, respond to site visits or telephone inquiries, conduct site tours, sell to Prospects and lease apartments. Work to optimize occupancy while maximizing effective leased rent. Site tours include, but are not limited to, showing and transporting the amenities, models, and available apartments.
Work with property management staff to develop and implement sales and marketing strategies. Increase property traffic levels, maintain closing ratios and work to achieve and exceed budgeted occupancy percentages.
Prepare all lease related paperwork in an accurate and timely manner. Be able to explain all lease documents to new and existing Residents. Ensure all documents are completed prior to Resident move-in.
Follow established policy and procedures in the qualification, screening and acceptance of applicants for residency.
Ensure apartments are ready for move-in and are maintained in a satisfactory manner.
Assume responsibility for property operations when scheduling results in the leasing consultant being the senior management staff person on-site.
Maintain Company customer service standards. Respond to Resident requests and work with Residents to minimize and resolve Resident problems and complaints. Follow through to ensure issues are resolved.
Maintain prospect, traffic and leasing data, and assist with other computer data as necessary.
Deliver Resident gifts, inspect units on move-in day to ensure units are ready and assist with planning/hosting Resident functions.
Follow the property lease renewal program. Maximize Resident renewals.
Answers phones, directs calls to appropriate individuals, and prepares messages as needed.
Provides clerical support when needed to assist leasing staff with assigned administrative duties such as: copies, sorts, and files records related to office activities, business transactions, and other matters.
Processing invoices as needed in support of management.
Prepares letters, memos, forms, and reports according to written or verbal instructions.
Participate in Company training classes as required.
Supporting Functions:
In addition to the performance of the essential functions, this position may be required to perform a combination of the following supportive functions.
Maintains filing systems either manually or electronically.
Manages calendars and schedules appointments.
All other duties as assigned by supervisor.

Qualification Standards:
Experience:
Any combination of education and experience equivalent provides the required knowledge, skills, and abilities.
At least two years of related experience is preferred.
Preferred Driver’s License
Communication:
Strong communication skills are needed.
Ability to convey information and ideas.
Ability to deal effectively with vastly diverse groups of people
License or Certificates:
Valid Driver’s License
Grooming:
All employees must maintain a neat, clean, and well-groomed appearance including hair color.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer and standing and walking, giving tours, and meeting with potential tenants.
Must be able to lift up to 15 pounds at times.
Must be able to traverse a variety of properties with stairs and in a variety of weather.
Must be able to work weekends and/or evenings on a rotating schedule.
Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard

Attendance:
This position requires the ability to work Monday through Saturday during the week, 52 weeks of the year. Due to the property staff limitations, it is extremely critical that individuals possess the ability to work their scheduled hours consistently and overtime hours when required
