Operations Analyst / Coordinator

WHAT WE ARE LOOKING FOR:

The Operations Analyst position works on various operational analysis, budgeting, monthly reporting, and value-added projects to improve the communities. Reporting directly to the Executive Vice President this position will incorporate critical thinking on operational, financial, and technical projects. Position is a full-time, hourly, non-exempt, eligible for full benefits after completing a grace period. 

WHY YOU ARE THE PERFECT FIT:

  • Bachelor’s degree or similar experience required.
  • Multi-family industry experience preferred.
  • CA Real Estate license preferred.
  • Knowledge of property management software platforms (Yardi, RealPage, Gracehill, Revenue Management...etc.) preferred.
  • Advance knowledge of Microsoft suite, including OneNote and Teams.
  • Basic understanding of property management accounting preferred.
  • Excellent professional written and verbal communication skills.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Must be highly self-motivated and customer centric.
  • Ability to work with ambiguity.
  • Provide a positive customer experience internally and externally.
  • Great analytical, critical thinking and problem-solving abilities.
  • Strong adaptability and capacity to work in fast-paced environments.
  • In-depth understanding of organizational data flow and its use in management decision-making.

 

Duties and responsibilities

Responsibilities include, but are not limited to, the following:

1. Report Generation and Analysis

  • Collects and analyzes data to evaluate operations and processes and to facilitate complex decision-making.
  • ·Follows established modeling and evaluation methodologies to determine the effectiveness of current operational activities, isolate problem areas and develop solutions.
  • Develop an acute understanding of the business and the drivers of success to effectively assist the needs and objectives of ConAm.
  • Participates in operational projects as needed.

2.    Property Onboarding / Offboarding Coordination

  • Oversee and assist in the onboarding and offboarding of properties.
  • Work with regional staff to ensure information is provided to Accounting, IT and HR, to ensure property information is entered into ConAm systems timely.
  • Coordinate the onboarding and offboarding process with regional staff and provide status updates to EVP.

3. Administrative

  • At the direction of the EVP, support various departments including operations, marketing, education, property services, etc.
  • Monitors budget including tracking expenditures and providing reports. May prepare spreadsheets for budgets, including tracking and maintaining expenditures and reconciling accounts; uses budget tool.
  • Reviews, assesses, routes, answers and monitors follow up action steps on correspondence.
  • Support and assistance with various operational and administrative duties for properties.

4. Communication

  • Communicates directly with the Regional Vice Presidents, Regional Portfolio Managers, Area Managers, and Community Managers.
  • Respond within 48 hours of requests and provide status updates throughout the project timeline.
  •  Provides a bridge for smooth communication between the EVP's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Works closely and effectively with the EVP to keep her well informed of upcoming transitions, commitments, and responsibilities, following up appropriately. Acts as a "barometer," having a sense for prioritizing issues taking place in the environment and keeping the EVP updated.

5. All other duties as assigned.
