HR Administrative Assistant - ConAm Corporate Office

WHAT WE ARE LOOKING FOR:

The HR Administrative Assistant will be responsible for a wide range of duties including tracking documents, updating databases, and answering telephones. This will be a multi-facet administrative position supporting the HR and Facilities department.

Duties/Responsibilities:

HR Department

  • Communicates with Executive Admins for C-Suite
  • Receives and distributes office mail
  • Manages departmental mailbox
  • Schedules and organizes appointments; takes minutes during departmental meetings
  • Assists with filing, scanning, invoicing and purchase requests
  • Processes required paperwork for related employment matters
  • Assists with the preparation and distribution of HR reports, such as new hires, terms, turnover, and birthday / anniversaries
  • Coordinates / plan corporate events
  • All other duties as assigned

Talent Acquisition

  • Manages departmental mailbox
  • Schedules and organizes interviews
  • Assists with recruiting campaigns and outreach
  • Processes required paperwork for related employment matters
  • Assists with the preparation and distribution of TA reports, such as open positions
  • All other duties as assigned

Facilities

  • Support the front desk
  • Answers and directs departmental phone calls
  • All other duties as assigned

Knowledge, Skills & Abilities Required:

  • 1-year administrative experience preferred
  • Excellent organizational skills
  • Excellent written and verbal communication skills
  • Ability to maintain confidential information
  • Proficient in Microsoft Office suite; UltiPro knowledge a plus
