A Day in the Life:

As the Transition Specialist you will contribute to the success of the organization by coordinating and overseeing the transitions of communities in and out of Alliance; provide necessary training and coordinate the successful take over for Operations.

What You'll Do:

  • Create and maintains SalesForce records relating to each new and existing community record beginning with the initial acquisition/creation of record, updates to ownership or banking information and disposition activity in order to track all transition types
  • Communicate weekly with VP's, RM's and New Business Associates to update Pipeline Report
  • Manage Project Management (PM tool) within SalesForce to ensure departments are on track for their transition
  • Manage and track 90-day Transition Reports and checklists to include:
  • Transition Checklist (coordinate completion and turn in within 30 days from initial transition date)
  • Lease Up Checklist (coordinate completion and turn in within 30 days from initial transition date)
  • 90 day Transition Checklist (coordinate completion and turn in within 90 days after initial transition date)
  • Review utility information, identify bond or deposit requirements, identify all computer model hardware information, coordinate contract and vendor review with the buyer contact, take inventory of the community and staffing needs and coordinate the delegation of vendor letters and utility transfer letters
  • Request a new list of current vendors and send New Vendor Information Letter in order to advise vendors of Alliance's compliance requirements
  • Communicate with all departments in regards to on-boarding process for communities in and out of Alliance
  • Create customized reporting and dashboards in SalesForce platform to provide key information to meet the specific needs of multiple departments
  • Assist with the functionality of the SalesForce records and reports and how they directly relate to the requirements set forth by the internal departments
  • Coordinate the distribution and obtaining of Community Information and Set-Up documents to ensure that crucial information is received
  • Facilitate documentation and signatures through the use of DocuSign and SalesForce
  • Create, review, and revamp all transition procedures and documentation as improvements or changes are mad
  • Request and maintain legal entity documents for the communities
  • Purchase all collateral and external items needed to assemble Transition Boxes for takeovers, and then make sure they are shipped to the new community for the regional team to set-up, and track the Transition Box expenses -
  • Invoice monthly to reimburse the 1215 account
  • Negotiate with vendors to ensure we are receiving competitive pricing for items such as start-up collateral materials, stamps, leasing notebooks, policy binders, and interoffice envelopes, etc.
  • Travels and assists regional teams with Transitions, Audits, or Surrenders as needed
  • Lends a hand with Due Diligence documentation gathering requirements as it relates to acquisition and/or sale of community
  • Provide assistance to regional teams with documentation, information and support for all community dispositions
  • Evaluate, condense, and ship Surrender Boxes to secure storage facility
  • Maintains transition storage and supply inventory through storage facility platform, also able to request delivery or pick up of boxes for corporate office
  • Ensure all communities are set up with a FedEx account (stays with Transitions) and enrolled in the national Labor law programs (moving to HR)
  • Sole account administrator for the national master FedEx account for Alliance, as well as, the regional corporate and development offices, and all community FedEx accounts and their FedEx Users
  • Coordinate FedEx online shipping profiles for all Alliance associates
  • Facilitate urgent shipping matters for Senior Vice President of Finance
  • Research and reply to all questions received from community associates, regional staff, and executive team (by phone or email) as they pertain to transitions, compliance, legal entity documents, banking set-up, and any ownership concerns
  • Lend a hand with due diligence documentation issues or recording requirements as it relates to acquisition and/or sale of community
  • Support Risk Management team by providing executed documentation from ownership
  • Coordinate and work with all corporate support teams to improve internal processes and procedures
  • Manage and fulfill order requests for replacement GL coding stamps and leasing notebooks for existing communities and internal departments
  • Coordinate and work with all corporate support teams to improve internal processes and procedures
  • Resolve problems and research issues for Property Accounting, Corporate Accounting, Accounts Payable, Internal Audit, HR, IT, Ancillary Services, and Compliance departments on a regular basis as they relate to transitions items
  • Review, code, and submit Labor Law program invoice to corporate accounting as invoices are received. (Moving to Human Resources)
    Any other task assigned or directed


What You'll Need to Succeed:

Required:
  • B.A/B.S degree in Business or related field

Preferred:
  • Previous work experience in transitions or the multi-family industry

OTHER KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to multitask and switch focus frequently
  • Ability to work with minimum supervision
  • Strong interpersonal skills with the ability to interact and relate effectively, productively, and positively with other associates and clients
  • Basic knowledge of Microsoft software including Outlook, Excel, and Word
  • Ability to work a schedule during normal work hours and that may be other than Monday-Friday, 8-5. Work in excess of 40 hours per week is likely
  • Consistent, regular, and in person attendance during regular working hours at the workplace is required
