ASSISTANT COMMUNITY MANAGER

As an Assistant Community Manager with NMS Residential, you will be expected to:
- Foster a positive, professional and friendly atmosphere in the leasing office and on-site
- Demonstrate the value in our communities to prospective and current residents, distilling all interactions through the principle of service, to support optimal occupancy objectives
- Promote positive and proactive resident relations by working to make the living experience, particularly the first and last impressions, of the highest quality
- Apply standard operating procedures based on product type (conventional, furnished, co-living, etc.) while exercising attention to detail and due diligence in leasing transactions, verifications, and communication
- Under the direction of the Community Manager, supervise Concierges by developing and implementing programs aimed at resident retention (where applicable)
- Score 95% or higher on property "shops" & audits
- Manage Lead Management technology to procedures and standards
- Maintain thorough and accurate product knowledge of the community and its major competitors through site visits, tours, shops, telephone surveys, and follow-ups; complete (sub)market surveys as directed
- Under the direction of the Community Manager, prepare and deliver all legal and formal notices, including Three- Day or 30-Day Covenant to Quit, Rent Increase Notices, Late Charge Notices and Notices of Violation of Community Rules and Regulations, in accordance with the California Civil Code.
- Assist in hiring, training, supervising and motivating staff to peak performance levels
- In the absence of the Community Manager, lead, supervise, and support staff; tour apartments and lease as needed
- Ensure the maintenance of all account records and transactions, including NSF's, rent allowances, concessions, rent increases, utility billing collection, and other management approved debits/credits; ensure property records are accurately maintained (lease and general files) and that lease files are maintained in a secure area.
- Complete Statement of Deposit Accountings ("SODA"), ensuring all statements are completed in accordance with NMS Residential policies and applicable State & Federal Laws
- Assist with vendor management, including the selection of vendor services through the competitive bid process, vendor performance compliance, and maintaining current certificates of insurance
- Post ads on Craigslist and other advertising platforms as per company guidelines
- Verify rental applications and other prospective resident paperwork, such as applicant identity and proof of income, etc.
- Assist in the negotiation of rent increases and lease renewals with residents and support the Community Manager in the execution of documents necessary to implement approved rental increases; prepare and distribute renewal letters/leases, and copies of signed leases, as directed
- Prepare and submit reports by their deadlines, ensuring quality content, structure, and relevant details in business data provided
- Process inter-property transfers and roommate changes as needed
- Participate in ongoing training, classes, and meetings as required by Community Manager or organization
- Perform other duties as assigned
REQUIREMENTS
- Knowledge of organizational and community policies and procedures. Ability to apply policies and procedures to solve everyday issues.
- Ability to create, compose and edit written materials
- Demonstrated knowledge of demographics surrounding the assigned community. Must be self-motivated and a positive team member with effective communication and client relations skills.
- Demonstrated basic mathematical skills necessary to compute rents, fees, and other fiscal reporting tasks
- Ability to exercise initiative and problem-solving skills
- Ability to establish priorities and coordinate work activities
- Possess professional, friendly telephone and greeting skills
- Demonstrated experience in providing customer service
- Knowledge of computer systems including Microsoft Office programs, Internet and email at a highly proficient level
QUALIFICATIONS & SKILLS (Technical and Non-technical)
- High school diploma required
- Property Management Certification is a plus
- 5+ years of general work experience
- 2+ years of experience in residential leasing/sales
- Previous supervisory experience a plus
- Previous experience/responsibilities with operational planning and management a plus
- Demonstrable computer abilities: Microsoft Office programs, Internet and email
- Previous experience with Yardi a plus
- Excellent writing and speaking skills
