Director of Portfolio Maintenance and Capital Projects

The Jacobson Company is a privately held multifamily investment and management firm. Located in Los Angeles, our company history spans more than 50 years of experience acquiring and successfully operating multifamily and student housing properties throughout the Western United States. Our current portfolio consists of more than 2,100 units across multiple communities throughout California, Washington, Colorado and Texas. 

The Director of Portfolio Maintenance and Capital Projects is responsible for implementing all maintenance and capital improvement processes and projects throughout the portfolio. This includes standardizing maintenance operations and vendor contracts, negotiating and approving scopes of work, determining renovation and refurbishment necessities, overseeing the completion and quality of capital improvement projects, and ensuring safety-related regulatory compliance.

RESPONSIBILITIES/FUNCTIONS:

·       Manage maintenance operations related to the portfolio such as staff recruitment/retention, financial budget planning and performance, and third-party vendors/suppliers to maximize revenues and control expenses.

·       Work closely with the Regional and Community Managers, identifying maintenance issues and solutions concerning their property.

·       Recommend maintenance and capital improvements for each property and continually act in a manner so as to maintain and enhance the value of company assets.

·       Work with Regional Managers and Community Managers in overseeing renovation projects at applicable properties.

·       Participate in oversight of inventory control, vendor selection and contract administration at each community.

·       Determine adequate maintenance staff levels for assigned communities, evaluate skill levels of maintenance personnel, set goals for Maintenance Managers and evaluate performance annually.

·       Work with the Maintenance Supervisors at all properties to ensure work orders, vacant unit turnover and all maintenance concerns are addressed in an effective and timely manner.

·       Oversee all maintenance and grounds-keeping operations at each community.

·       Participate in the preparation of maintenance repairs, unit turnover, and capital improvement projections for annual budgets.

·       Keep accurate records regarding preventative maintenance, work orders, apartment refurbishing, annual inspections, inventories and purchase orders.

·       Conduct property inspections quarterly to ensure adherence to company standards.

·       Ensure that the community is following all safety guidelines in respect to OSHA, EPA and company’s designated procedures.

·       Assist in due diligence of new property acquisitions to determine maintenance requirements.

·       Must have the ability to travel by means of air transportation and automobile as needed.

 

LOCATION:

This position is based out of our corporate office in West Los Angeles. Flexibility to work remotely from Los Angeles and Orange County is available.

  

QUALIFICATIONS:5+ years full-time experience overseeing a portfolio of properties with a minimum of 1,000 units is required. High school education or equivalent along with 7+ years of full-time maintenance experience within the apartment industry. Candidates must have a valid driver's license. Strong building construction knowledge, HVAC Certified with current EPA Card, Universal or Type I, II strongly preferred. Formal training or experience in the following areas: carpentry, plumbing, electrical, painting, refurbishing and cleaning, and air conditioning/HVAC is strongly preferred.

 COMMUNICATION SKILLS: Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, construction blue prints and drawings, or government regulations. Ability to prepare reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

LEADERSHIP, DEVELOPMENT AND COLLABORATION: Experience in managing a team effectively and collaborating with a diverse workforce.

SPECIAL CHARACTERISTICS: Must be detailed oriented, fast-paced, and be a self-starter requiring minimal supervision. Must have excellent analytical, organizational and computer skills. Must have working knowledge of Yardi Voyager, Excel, and spreadsheets.
