The Role

Responsibilities will include but are not limited to:

  • Coordinates and responds to the following issues on behalf of AvalonBay: Subpoenas, Small Claims cases, Better Business Bureau complaints, Attorney General complaints, Attorney Demand letters, Applicant and Prior Resident Demand letters, Complaint for Damages, Civil Cases, Consumer Credit Reporting Suits, Landlord Tenant Affairs Complaints, and Housing and Community Affairs Complaints.
  • Confers directly with AvalonBay Associate General Counsel and Loss Mitigation manager to ensure case resolutions are within legal limits and mitigate loss for the company.
  • Communicates and negotiates directly with prior residents and/or their attorneys to reach a solution amenable to both parties.
  • Thoroughly researches accounts, including, but not limited to, payment history, community documents and first-hand accounts, resident applications, lease applications, lease applications and all applicable account notes.
  • Works directly with individuals and teams both in- and outside of the Customer Care Center. These include the Legal Services Senior Manager and leasing office staff and management and on-site teams including SODA, Recovery Vendor, Resident Recovery, Payment Services and Accounts Payable.
  • Provides direction and updates to the third-party collections vendors regarding outstanding cases in conjunction with Recovery Vendor leadership team members.
  • Composes all written communication in response to all incoming complaints and suits.
  • Engages and monitors outside counsel when appropriate, as relates to assigned work.
  • Monitors all open cases; updates Salesforce tasks, SOP database, and Loss Mitigation SOP database, as necessary.
  • Utilizes numerous systems including Salesforce, Lotus Notes, ProfitStars, Property Solutions, OPS Technology, UPS Shipping, third-party collections client portals, Western Union, MRI and MRI Reports, Microsoft Word and Excel

You Have...

Qualified candidates will have the following knowledge, skills and abilities:

• Reads and writes English as demonstrated by clear and concise written and verbal communications.
• Creates and delivers group presentations on function-related subject matter and writes reports in a clear, concise form.
• Performs basic arithmetic skills (measurement, addition, subtraction, multiplication, and division) in order to do basic calculations and analyses such as estimating, determining, averages and percentages, and calculating totals as outlined under the Business Math Policy (8-01) in the AvalonBay Procedures Manual.
• Performs basic Microsoft Office applications such as word processing, spreadsheets, and presentations.
• Frequently operations general office equipment such as, but limited to, personal computer, telephone, photocopying machine, facsimile machine, and postage machine.
• Bacherlor’s degree in related area and 1-3 years of experience in a related field.
• 1-3 years of experience in a legal or project management setting.
• Superior time management and organization skills, including but not limited to demonstrated exceptional attention to detail
• Experience with data entry and excel required
• Must be able to multitask
• Willing to work on a flexible schedule (some overtime may be required)
