Customer Service Representative - CUBS

Irvine, CA

Job Summary

  • The Customer Service Representative’s primary responsibility is to answer questions from residents and from onsite staff, relating to resident accounts and billing. 

Duties and Essential Job Functions

  • Answer telephone calls for CUBS and provide customer service duties including answering billing questions.
  • Assist with client service inquiries from client site staff (Property Staff Assistance).
  • Reply to resident and client customer e-mails as they relate to billing questions or concerns.
  • Reply to voicemail messages as assigned or as needed.
  • Collect, process and audit customer data such as move in and move outs, occupant counts, etc.
  • Assist with processing returned mail and replying to written correspondence as needed.
  • Assist with payment processing (Checks, ACH, Money Orders, etc.).
  • Assist with taking payments from “In Person” customers (will take payment and provide receipt, then post payment(s) to account(s) as needed).
  • Extract ENCO Lockbox Payment batches and post payment batches into the resident accounts, using our ENCO and Utility TrakR sites.
  • Transport office payment deposits to our local City National Bank facility.
  • Assists with Meter Data Imports as / if needed.
  • Assists with Collection Letter creation as / if needed.
  • Perform WOW training as it pertains to CUBS/MAG. Will also perform other such duties and functions as are necessary or incidental, to the proper performance of this position.

Required Knowledge, Skills and Abilities

  • Work independently with little supervision.
  • Excellent communication skills.
  • Project a professional image both in person, over the phone and via written correspondence .
  • Excellent time management/multi-tasking skills.
  • Dependable; reliable; and a team player.
  • Above-average level computer skills in MS Office Professional Suite.    
  • General office experience.
  • Bi-lingual English/Spanish skills are a plus but not required.
  • Must possess a valid CA driver's license; maintain an acceptable driving record and proof of auto insurance.
