The Role

Reporting to the Senior Facilities Manager, the Facilities Assistant will perform various administrative and clerical duties to support the operations of AvalonBay’s headquarters office including managing and operating the receptionist desk and mail/copy room, ordering supplies, coordinating technical support for copiers and other office equipment and providing lease administration support for our Headquarters and regional offices.

Responsibilities include but are not limited to:

  • Answer all incoming calls and direct caller(s) to the appropriate associate, or voicemail. Provide caller(s) with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
  • Coordinate all front desk activities including greeting and directing visitor(s), cab service, food deliveries, and vendor(s), in accordance with security protocols.
  • Receive, sort, and forward incoming mail and coordinate the pick-up and delivery of express mail services. Prepare weekly mailing to other company sites. Assist others with the use of mail/copy room equipment.
  • Coordinate vendor support services for office operations including maintenance on office equipment, coffee machine, and copiers.
  • Procure and maintain office and mailroom supplies and coordinate off-site document storage. Monitor and direct daytime porter activities as needed.
  • Process all Facilities related A/P invoices via PeopleSoft, while researching any billing issues and documenting maintenance calls, following up as necessary.
  • Review monthly lease reports for key events and research regional office lease information.
  • Coordinate the set up for new/departing associates to include preparation of new/departing associate packets and distribution.
  • Prepare and maintain Headquarters office phone directory and reception desk coverage schedule.

You Have...

A high school diploma or equivalent (GED) along with at least 2+ years of experience in an administrative support role.

Excellent communication skills including written and verbal communication.

Strong technical skills including Microsoft Office applications.

Demonstrated ability to multitask in a fast-paced work environment.

Customer service mindset with a genuine desire to help your team, your colleagues and office guests.
