The receptionist position is a unique opportunity to work at our commercial space Artthaus Studios.  Artthaus Studios is a member community that encompasses an intersection of creative office, artist studios, and a makers facility, all brought together under one roof.  Aimed at creating a diverse community of creative professionals it offers over 100 office, studio and other spaces catered to the needs of artists, entrepreneurs and small creative businesses ranging from design, film, web, publishing, photography and beyond. 

The essential aspect of this role is to create a welcoming and collaborative community environment among our members and guests at Artthaus studios. 
 

Duties and Responsibilities:

  • Greeting /Point of Contact:
  • Greet and check-in Artthaus Studios member guests and Best Bay Apartments tenants
  • Log in all tenant rents, notices, employee timesheets & mileage forms, return of keys, maintenance requests, 30 Day Notices and any other tenant communication that is walked into the office
  • Greet people who come in for tours, track walk-ins, schedule tours, and send confirmation emails
  • Manage Arthaus studios Member check-ins and check-outs
  • Answer "walk-up" member and guest questions or refer the inquirer to additional resources
  • Building/Office Operations and Management:
  • Assist with move-ins and move-outs; prepare and distribute member welcome packets
  • Order and receive office materials and inventory lists
  • Assist with fielding and assigning submitted requests
  • Manage keycard activations and bike room access requests where applicable
  •  Ensure on a daily basis the building, kitchen, and office (common area and conference rooms) are clean and well kept
  • Maintain mail and package room
  • Manage conference rooms availability and operations
  • Membership Management:
  • Work on community initiatives designed to develop connections between members, including member introductions, event support, email and print communications
  • Solve member-related issues to ensure a cohesive community
  • Events and Community Management
  • Assist with set-up and breakdown of events, including ordering food and beverages
  • Other duties
  • Provide a leasing support as needed
  • Assist property managers with day-to-day operations (collections, leasing, maintenance, etc.)
  • Experience and Requirements:
  • Must have excellent customer service skills
  • Must have strong verbal and written communication skills
  • Bilingual in English and Spanish preferred, but not required
  • College graduate with a four-year degree preferred, but not required
  • Exceptional organizational and multitasking skills
  • Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and empathy
  • Proficiency in MS Office suite and Gmail suite
  • Prior experience in real estate and/or property management a plus
