TECHNICAL OPERATIONS COORDINATOR – Corporate Office, Santa Barbara, CA

ROLE

Under the direction of the Portfolio Director, the Technical Operations Coordinator is responsible for providing technical and operational expertise to sixty-five employees working remotely at one of fourteen apartment communities between Ventura and Santa Maria.  Providing administrative support to the Residential Property Management Department (RPMD) corporate team. Serving as the key project coordinator for companywide business continuity and emergency preparedness programs.

 PRIMARY DUTIES

  • Serve as the internal YARDI administrator responsible for system setup procedures and maintenance.
  • Train and coach new and existing employees in workflow and procedures related to YARDI.
  • Provide audit services to ensure compliance with Fair Housing and TGI policies.
  • Set up, manage, and provide support for vendors such as answering service, online payments, newsletters, resident communications, and others that support the RPMD operations.
  • PowerDMS administrator and subject matter expert for corporate and onsite staff.
  • Travel portfolio-wide to provide onsite training and/or provide office coverage as needed.
  • Work with IT Director and Training Manager to coordinate, design, and implement system improvements.
  • Participate in planning and facilitating monthly, quarterly and annual RPMD events and meetings.
  • Provide administrative and project support to Portfolio Director and RPMD VP when needed.
  • Other duties and projects as assigned.

 JOB REQUIREMENTS

  • Minimum two years training experience and/or support of YARDI Voyager, Rent Café, and other YARDI modules.
  • Minimum four years of direct, onsite multi-family housing experience.
  • Experience facilitating group meetings and discussions as it relates to all technical systems, interfaces, including policies and standards around usage of each.
  • Demonstrated commitment to customer service by providing timely responses to a high volume of requests with competing priorities.
  • Ability to organize material and information in a systematic way to optimize efficiency and maximize the work-flow process.
  • Ability to analyze operational processes, including skill in modifying or adapting procedures based on the analysis.
  • Ability to work independently with frequent distractions and achieve required work results.
  • Ability to prepare concise, logical and grammatically correct documents for internal and external use.
  • Above average proficiency in MS Word, Excel, PowerPoint, Snag It, Adobe Suite, and other technical writing software or technology.
  • Strong grammar skills and usage to support the review and editing of documents.
  • Ability to maintain strict confidentiality on all matters.

WORK ENVIRONMENT and PHYSICAL REQUIREMENTS

  • This hourly full-time position has a standard work week schedule Monday through Friday from 8:00 a.m. to 5:00 p.m. when working at the corporate office or learning lounge.
  • When working onsite at an apartment community, the hours are typically 9:00 a.m. to 6:00 p.m., Monday through Friday and may include weekends or evenings.
  • This role requires frequent sitting, standing, walking, stair-climbing, bending and reaching.
  • The incumbent will be required to drive between the corporate office and residential communities in Ventura and Santa Barbara Counties.
  • The position requires constant communication in English through verbal, written, and various electronic means.
  • Ability to lift a minimum of 20 lbs. 

PREFERRED QUALIFICATIONS

  • Relevant work experience in a comparable role in the multi-family housing industry, or onsite in a property management position.
  • Proficiency with Yardi Voyager operating system.
  • Thorough knowledge of fair housing laws and corresponding best practices.
  • Industry certification through IREM or NAA preferred.
  • Bachelor’s degree or a combination of university-level courses and practical experience. 

The position is hourly, non-exempt, and full time; we offer a competitive salary, a rewarding work environment, complete health care benefits, 401k plan and company match, paid vacation/sick time programs.

A clean DMV record, proof of vehicle insurance, background check and pre-employment drug test will also be required. EOE

This is a fulltime hourly position with a salary range of $27.88 to $31.25 per hour. EOE
