REPORTS TO: Sarah MacIntyre, Director of Asset Management
MAJOR RESPONSIBILITIES:
Actively oversee a portfolio of stabilized real estate assets located in Northern California. The portfolio may expand over time, but shall initially include five new construction assets in San Mateo, CA: (a) a 108-unit apartment building, (b) a 70-unit apartment building with up to 3 retail tenants, (c) a 158-unit apartment building with 3 retail tenants, (d) an 83-acre master plan, and (e) an onsite construction management office. The Portfolio Property Manager shall be responsible for setting goals, strategies, and tactics for each property; leading the annual budgeting process; crafting maintenance plans and enforcing maintenance standards; meeting with third-party property management firms weekly to provide guidance and direction on day-to-day operations (pricing, marketing, building maintenance, capital improvements, tenant relations, etc.); and supporting retail leasing, tenant improvement projects, and risk management efforts, as necessary. Key performance metrics for the position shall include: growth in net operating income, customer satisfaction, and adherence to property maintenance and risk management standards.
DUTIES:
- Specific tasks and duties for the apartment assets shall include:
- Financial. Annual budgeting. Monthly review of financials and variance reports. Internal and external reporting. Lender compliance. Tax reporting. Provision of inputs to financial analyst for pro-forma analysis. Support for refinancing efforts.
- Maintenance. Set project maintenance goals/standards. Walk properties weekly to ensure compliance.
- Residential Leasing & Marketing. Work with third-party property management firm to hire staff, set office hours, know the competitive landscape, set pricing for new leases and renewals, develop marketing messages, craft and implement an annual media plan, review and approve all marketing communications, monitor ILS’s and third-party review sites to ensure consistent presence and compliance with brand guidelines, facilitate website updates, prompt team production of social media content, and prompt the team to support the Master Marketing Program as needed.
DUTIES CONTINUED:
- Risk Management. Annual property audits with insurer. Ongoing COI review.
- Capital Projects. Review and approve capital spending requests.
- Retail Leasing and Tenant Improvement Projects. Tour potential tenants and/or provide site access. Assist with Tenant Improvement projects, as needed [for example, by receiving as-built documentation, reviewing COIs, reviewing lien releases prior to tenant improvement payouts, facilitating resident notifications for any noisy works, etc.]
- Specific tasks and duties for the onsite construction management office(s) shall include, but are not limited to, the following:
- Coordinate with third party vendors as needed to keep premises in good working order (printers, copiers, internet, lights, etc.), to ensure timely delivery of office supplies, and to schedule and monitor cleaning and pest control service.
- Specific tasks and duties for master plans (and potentially future residential condo projects) shall include, but are not limited to, the following:
- Attend Association Board Meetings (in the evening).
- Attend and help coordinate social events.
- Conduct weekly site inspections to ensure compliance with O&M standards, and coordinate with third-party management firm to resolve issues.
- Refine existing management and maintenance plans.
- Work with third-party management firm to craft quarterly newsletter.
- Review annual budget, annual reserve study, and monthly financials.
- Lead periodic BRE budgeting and document approvals process.
- Review all resident communications prior to distribution.
- Serve as liaison for all construction notices routed via Association.
REQUIRED EXPERIENCE:
- A minimum of three years prior property management experience in a decision making role—ideally in the multi-family rental sector. Commercial real estate and development experience is a plus.
- Team player with outstanding ability to work with peers and to manage, coordinate and direct third party management firms.
EDUCATION:
- Undergraduate degree required; MBA or graduate work in a related field desirable.
